1. Who is responsible for data

Your club is the controller of the data it enters about you and your child, and of what is created in its academy: attendance, matches, the coach's remarks. Elite Academy processes this data on the club's behalf, under a data processing agreement.

2. What data we hold

Parent: name, e-mail, phone, linked children, attendance replies, notification settings; if the club takes payments in the app: the chosen plan and payment way, the amounts, due dates and status of fees.
Player: name, date of birth, team, attendance, appearances, goals and assists, goals set and own notes after training and matches (text, or a recording and its transcript), XP points, username. An e-mail address only for a player aged 14 or over with their own login.
Coach and club admin: name, e-mail, phone, team assignments, recordings and transcripts, remarks for players, match records, actions in the console.
Registration form on the club's page: the parent's details, the child's details, team, phone, the e-mail of a child aged 14-15, the consent and when it was given.
Everyone: the device identifier for notifications, app version, phone system and language, dates the app was opened, IP address and sign-in history; the text of a bug report and a screenshot if you add one.

We do not ask for health data or any other special-category data. The reason for an absence is picked from a list with no health categories.

3. Why and on what basis

Running the club (enrolment, teams, calendar, attendance, call-ups, results): the agreement with the club and the club's legitimate interest.
Account, sign-in and the registration form: the contract for using the app.
Club fees: the agreement between you and the club.
The player's goals and notes and the coach's remarks: the parent's consent for a child under 16; the player's own consent from 16.
Notifications: the contract. We send no marketing messages.
Security, bug reports, app-open statistics: Elite Academy's legitimate interest.

4. Children

A player aged 16 or over decides alone. For a younger child the parent decides: at enrolment, in the app and for every consent. A login for a child aged 14-15 is created only at the parent's request; a younger child has no login.
Nothing is used to grade a child or for rankings.
A child's words, voice or image never go into marketing, in any form.

5. Who we share data with

Within the club, data is seen only by the people who need it (section 6 of the Terms). Outside the club we share data with nobody except the technical service providers without which the app does not work: hosting and database, e-mail delivery, phone notifications, transcription of recordings, and Google, Apple or Facebook sign-in if you choose it. Each of them acts on our instructions under a GDPR-compliant data processing agreement and may not use the data for its own purposes.

Payments in the app are handled by Stripe (Stripe Payments Europe, Ltd., Ireland) as the club's payment provider. You give your card or account details directly to Stripe; we neither see nor store them and receive only the amount, the date and whether the payment succeeded. Stripe processes payment data as a separate controller under its own privacy policy (stripe.com/privacy).

We store data in the European Union. If any provider processes data outside the European Economic Area, this happens only under mechanisms approved by the European Commission. We disclose data to public authorities only where the law requires it. We do not sell data and we have no ads or advertisers.

6. For how long

Voice recording: until transcribed, then deleted at once.
The player's goals and notes, the coach's remarks: while the player is in the club, then in the club's archive.
The club's archive (a player or an adult who left the club or deleted their account: name, contact details, date of birth, club history, payments): for the period the club sets, 6 months by default, at most 12; then we delete a player's data and anonymise an adult's. The club may delete them earlier.
Registration form: until enrolment closes, at most 90 days; after that only the data carried into an account remains.
Login, profile photo and notification registrations: until the account is deleted; erased at once when deleted in the app, within 30 days after a request by e-mail.
Security logs and bug reports: 12 months. Technical server logs: 7 days.

7. Your rights

You have the right to access your data, to rectify, erase, restrict, port and object, to withdraw consent at any time and to lodge a complaint with the President of the Polish Personal Data Protection Office (uodo.gov.pl). Write to the club or to [email protected]; we reply within a month. For a child under 16 the parent acts. In the app you can delete your account yourself (More → Account → Delete account) and remove a child.

8. Security

Access to data is checked in the database on every query, following section 6 of the Terms. Connections and data at rest are encrypted; passwords are stored as hashes; activation codes are single-use and time-limited. We notify the club of a data breach within 24 hours and the supervisory authority within 72 hours where the law requires it.

9. Phone, analytics, website

We use no analytics or advertising tools. The app records with us the dates it was opened and its version, so we know it works; it reports crashes to our own database, without the content you type or record. You send a bug report yourself, with or without a screenshot.

Permissions: microphone (recording; asked on first use), photos (only when you add an image yourself), notifications. We do not ask for location, contacts or calendar; directions to the pitch open the maps app on your phone.

The website joineliteacademy.com has no tracking cookies. It loads fonts from Google Fonts, which passes your browser's IP address to Google.

10. Changes

We announce changes unfavourable to users in the app 14 days in advance; such a change concerning a child's data is also e-mailed to the parent. New features, clarifications and changes required by law are announced in the app on the day they take effect.
